Get paid on time — a practical payment playbook for coaches

A practical guide to getting paid as a personal trainer or online coach — payment options in India and abroad, invoice basics, clear package terms, reminder scripts and simple payment tracking.

Most coaches are comfortable talking about training and nutrition, and uncomfortable talking about money. The result is predictable: vague package terms, payments collected "whenever", awkward reminders and a nagging sense that some clients are overdue. None of that is about clients being dishonest. It is about the coach not having a system.

This guide covers the practical side of getting paid: which payment methods to offer, what an invoice should include, how to set package terms, what to say when a payment is late, and how to keep track of it all without a spreadsheet you dread opening.

The three rules of getting paid

Before choosing any tool, set three rules and stick to them:

  1. Payment before the package starts. Coaching begins when payment is received, not the other way round.
  2. Renewals are raised before the package ends. Send the next payment request a few days before the current package finishes, never after.
  3. One record of who has paid. Every client, every package, every payment, in one place.

Most payment problems come from breaking one of these.

Payment methods for coaches in India

Indian clients are comfortable with several options. Offer two or three, not ten:

  • UPI. Fast, familiar and usually free for the client. Share your UPI ID or a QR code. Ask clients to add their name and package in the payment note.
  • Bank transfer (NEFT, IMPS or RTGS). Useful for larger package amounts and corporate clients.
  • Payment links from a payment provider. Providers such as Razorpay, Cashfree or PayU let you send a link that accepts UPI, cards and net banking, and many support recurring payments. Check each provider's current fees, settlement times and KYC requirements before choosing.
  • Cards. Usually through a payment provider's link or checkout page.

Cash still works for in-person training, but it is the hardest to track. If you accept it, record it the same day.

Payment methods for international clients

For clients in the US, Canada, Australia and elsewhere, common options include card payments through a payment provider, PayPal, and international bank transfers. If you are based in India and coaching clients abroad, check with a chartered accountant how foreign payments and export-of-services rules apply to you, and compare providers' currency conversion and withdrawal fees.

Invoice basics

An invoice makes you look professional and makes record-keeping easier. At minimum, include:

  • Your business name, address and contact details
  • The client's name
  • An invoice number and date
  • A description of the package and its dates
  • The amount, currency and payment method
  • Tax details, if you are registered for tax

If you are registered for GST in India, your invoices need to meet GST requirements — confirm the details with your chartered accountant. Accounting or invoicing software can generate compliant invoices for you.

Set clear package terms

Most payment disputes come from unclear terms, not unwilling clients. Put these in writing before the client pays:

  • What the package includes and how long it lasts
  • When payment is due, and what happens if it is late
  • Your pause policy — for illness, travel or injury
  • Your cancellation and refund policy
  • How renewals work and when you will raise them

Share the terms in your welcome message or onboarding form, and ask the client to confirm they have read them.

Choose a payment structure

  • Upfront packages — the client pays for the full package, such as 12 weeks, at the start. Simplest to manage and best for commitment.
  • Monthly payments — the client pays each month. Easier for clients, but you need a reliable reminder routine.
  • Instalments — a larger package split into two or three payments with fixed dates.

What to say when a payment is late

Keep reminders friendly, specific and short. Most late payments are simply forgotten.

Hi Ananya, a quick heads-up that your next coaching month starts on the 1st. Here is the payment link. Let me know if anything has changed with your plans.

Hi Ananya, just a reminder that today is the payment date for your coaching package. Here is the link again. Thank you!

A few days late

Hi Ananya, I have not seen the payment for this month yet — it may have slipped through. Could you take a look today? If you need to pause or change your plan, just tell me and we will sort it out.

If payment still does not arrive, pause coaching rather than continuing unpaid. Be kind but consistent — clear boundaries are fairer to every client.

Track who has paid

The final piece is a single record. For each client, keep:

  • The current package, its price and its start and end dates
  • Every payment received, with date, amount and method
  • The next renewal date

Review it weekly. The goal is to know, at any moment, who is paid up, who is due soon and who is overdue.
